Fuel Management Systems

The existing setup relied on manual dip readings and paper-based records, which introduced inconsistencies and made it difficult to track fuel usage across multiple vehicles and plant equipment. The client needed a system that could automate fuel dispensing records, enforce driver identification, and provide reliable data for both internal reporting and compliance purposes.

Handy Fuel WA supplied and commissioned a SmartFill Gen3 Fuel Management System integrated with the site's existing diesel bowser infrastructure. SmartFill Gen3 is a proven system used widely across WA's resource sector, offering PIN or key tag-based driver identification, automatic transaction recording, and remote data access via a cloud-based reporting platform.

The installation involved integrating the SmartFill controller with the site's primary diesel dispenser, configuring the system for the client's vehicle and equipment register, and commissioning driver tags for all relevant personnel and plant. The team also set up the reporting dashboard and walked the site fuel manager through the system's features, including how to run usage reports, manage driver tags, and set up alerts for unusual dispensing activity.

Following commissioning, Handy Fuel WA remained available to assist with any setup questions and provided documentation covering system operation and basic troubleshooting. The client transitioned from manual records to fully automated tracking within a single site visit.

The outcome was immediate. Fuel reconciliation became straightforward, the site had full visibility over who was drawing fuel and when, and the management team could access reporting remotely without needing to be on site.
